Is there anything wrong with traditional ‘conference coffee’?

We’re all used to seeing great big urns at corporate events, packed with instant filter coffee. Whilst they undoubtedly have a place (they’re great if you want to serve lots of people in a short period of time), at Ideas Box, we like to provide something a little more bespoke and up-market.

Our barista coffee uses the very best beans from our local Roasters – Assembly. Our coffee trikes and mobile coffee bars all come with experienced baristas who are extremely knowledgeable about the product and can offer a sophisticated experience.

Do we need to provide a power source?

Certain suppliers – usually coffee vans and rickshaws – can be self-sufficient due to their engines. But at conferences and exhibitions, you will need to order a power supply. Most mobile set ups can operate from two normal plug sockets (in electrician speak, you will need two 13amp plugs). These machines draw quite a lot of power, so be sure your production team has put enough in.

Can I brand the coffee setup for my event?

Yes, absolutely. Coffee trikes, stands and bars can usually be branded with custom signage, panels and cups to match your event or campaign. We often do that for our clients, and we have more information about our corporate branding offering, should you need it.

How many guests can a coffee trike or bar serve?

With barista coffee, you’re getting a premium product, and this takes time to produce. Good suppliers will invest heavily in high quality equipment to help keep up with demand. Here at Ideas Box, all our coffee machines are ‘commercial grade’, enabling us to serve over 140 guests per hour per setup. We have also invested in high quality grinders and automated tampers to help speed up service. This equipment costs lots of money but makes a huge difference on the day.

Should I expect other drinks besides coffee?

Some suppliers may offer teas or other beverages, but not all.  At Ideas Box, alongside our barista coffee, we serve speciality teas, hot chocolate, and iced coffees as part of our package. If you have a bespoke request, for example Matcha (extremely popular now), we will always do our best to accommodate.

Can coffee services work in exhibition halls?

Ultimately, the answer depends on where you’re hosting your event and who you ask.  Let’s look at why.

Take our starting price of £1,550 + VAT for 250 hot beverages, two baristas and on the day delivery and collection. Unlike other suppliers, we do not have any hidden fees. We do not charge by the hour either, so you could have us for 2 hours or 10, the cost is the same.

For shorter events, you benefit from no hidden fees and a premium experience without surprise charges. Our top-quality equipment and the presence of two baristas means that we can still get through the allocated portions in a two hour period – you aren’t missing out due to capacity.

For longer events, you’ll find us really cost-competitive, as hourly pricing can quickly add up.

We have supplier agreements with most of London’s key venues. This means our pricing is extremely competitive as venues trust us to meet their strict health & safety and operational requirements. If you bring in an unapproved supplier, the venue may charge extra fees for additional checks or compliance guarantees, making your overall cost higher. With us, those hurdles are already cleared, so you avoid unexpected costs.

If hosting in a conference centre, you’ll find they often add a 10-30% handling or service charge on top of catering costs – and this applies to all suppliers. Other types of venues may not have this markup, so your final cost will vary depending on where the event is held.
